Operations > Resource Management
What does it mean?
The Resource Management feature provides a centralised platform for operations managers to assign and oversee essential assets—such as drivers and guides—directly within the system. By integrating operational logistics with sales management, the tool ensures that every departure is properly staffed and equipped.
This functionality allows operators to create resources, categorise them using specific "tags", and assign them to departures. Additionally, resources can be granted a limited Backoffice user login, providing them with restricted access to a dedicated view of their assigned schedule.
What should I do?
To implement resource management in your workflow, follow these steps:
Create resources
-
Navigate to Operations > Resource Management to add the individuals (e.g., guides or drivers) responsible for your tours. And add a new resource by clicking the button. If it’s the first time you create a resource in your account, then you’ll see this message. Just click Proceed to continue.
You can also create resources directly from the main resource panel when no resource exists yet for a given type.
-
Enter your resource name to properly identify the person. Activate the attributes for your resource:
Activate Login for this resource: Enables back-office access for the resource.
Activate capacity for this resource: Assigns capacity to the resource.
Activate shared availability for this resource: Allows a single resource to be assigned to multiple departures (up to 5), sharing its availability across them. For example, a bus assigned to several departures will draw from a single shared availability pool.
-
Select the resource type — such as guide, driver, or both. You can also create custom types to suit your needs (e.g., buses, touristic guides, bikes). For more details, see this article.
Create resource types
Before creating your resources, it is a good idea to set up the resource types you need. Think of a resource type as a category — a way to group your resources so they are easier to manage and filter. For example, you might create types such as "Guide", "Driver", "Bus" or "Bike". Please, visit this article to know how to do it.
Edit existing resources
To edit a resource, click the edit icon next to its name. Use the search field in the main panel to quickly locate a resource by name.
Manage resources page
The main resource page serves as your central hub for managing and editing resources. It is organised into three key sections:
1. Create new resources or types
Add new resources or define new resource types directly from this page.
2. Resource type cards
Each card displays the type's name, icon, and colour, along with the total number of resources of that type in the system.
3. Resource list by type
A detailed, grouped list of all resources. Each entry shows the resource's name, initials, and three capability indicators:
Backoffice access: whether the resource has a login to access the backoffice.
Capacity managed: whether a capacity template is assigned.
Shared availability: whether the resource's capacity is shared across multiple departures.
Assign resources to departures
Resource assignment can be managed within the Pre-bookings, the Manifest or the Calendar sections. To begin, navigate to Operations > Next Departures.
You can manage these assignments directly from the Next Departures list or the Manifest.
Next Departures list
A red "R" icon indicates that a departure is missing a resource. Click the icon to open a modal window where you can select and assign the necessary staff from the list.
From here, you can also navigate directly to the Departure page (Manifest) for more details.
Once assigned, the "R" icon will turn green. You can repeat this action for any remaining departures.
Manifest
Resources can also be assigned from the Manifest page of a specific departure.
If no resource is currently assigned, the "R" will be highlighted in red. Simply click the icon and select the correct resource from the list to update the departure.
Calendar
Resources can be assigned and managed also from the Calendar view. Here, assigned departures are marked with a circle containing the resource’s initials, while unassigned departures stay clear.
To assign a resource, just click on the departure and select the resource from the list. Finally, save your changes.
After that, the departure will show the resource’s initial in a circle.
Important: Repeat this process for any remaining departures by selecting the appropriate staff from the resource list.
Resource visibility
Within the Pre-bookings area, you can utilise filter options to quickly identify operational gaps, such as departures with 'no resource assigned', 'no guide assigned', or 'no driver assigned'.
The resource user experience
When a resource logs into the Palisis Backoffice with a limited account, they will see a restricted menu. They are directed immediately to the Pre-bookings page, where they can view only their assigned departures to keep control of their daily operation. They do not have permission to modify or change resource assignments.
Good to know
Manual assignment: Currently, resources must be assigned individually to each departure; bulk assignment functionality is not yet available.
Permission management: It is vital to verify that any resource with a login is assigned to the "Limited" role to maintain your account's security and data privacy.
Removing a resource: If you remove a resource from a departure, the departure will automatically revert to its standard capacity based on the operational line settings.
