Where do I find it?
Operations > Next Departures
What does it mean?
Occasionally, you may host special events or departures in different venues that require a unique seating layout. In these instances, you must manually assign an alternative seating chart to specific departures via the Prebookings list or the Manifest.
What should I do?
Step 1: Pre-requisites & Preparation
If you require a new chart, please contact your Customer Success Manager with your specific requirements. Before assigning an alternative chart in Palisis, ensure the following configurations are complete:
-
Seats.io Configuration: An additional seating chart must be created, with events published, within the Seats.io dashboard.
-
Seat Category Mapping: You must "push" the seat categories into the new chart. If a new seat category is required, then create it at this point.
Navigate to Account > Passenger Categories > Seat Categories.
-
Once confirmed, your seat categories will be synchronised with the new layout.
After that, the seat category has been successfully pushed.
-
Pricing: Once the new chart and categories are live, update your pricing.
a. Go to Prices, edit your price list, and ensure the new seat categories have assigned rates.
b. Secondary capacity template: Create a capacity template specifically for this secondary seating chart.
Select the new chart from the dropdown menu.
Ensure the number of seats matches the seat categories in Seats.io exactly.
Step 2: Assigning the new seating chart to a departure
Once the preparations are complete, follow these steps to update a specific departure:
Identify the Departure: Go to Operations > Next Departures (Prebookings).
Initial Assignment: Click on the affected departure. Important: The departure must have an initial seating chart assigned first to establish the link with Seats.io; otherwise, the synchronisation will not trigger.
-
Update via Manifest: Open the Manifest for that departure, select the new Capacity Template from the settings, and confirm the change. A success message will appear once the update is processed.
This message will appear if everything is correct:
If you encounter an error at this stage, please reach out to your Customer Success Manager or our Support team for assistance.
If an error occurs, ensure the event name in Seats.io matches the template name shown here in Palisis.
Step 3: Internal Synchronisation (Seats.io Template)
To ensure the specific departure reflects the new layout correctly:
-
Return to the Next Departures list and click the red icon to synchronize.
2. This will be needed for the first capacity change, the first time the event is created in Seats.io. Copy the Template Name generated by Palisis for that specific departure.
-
Seats.io Update: Log in to Seats.io and rename the corresponding event template using the name you just copied.
Final Confirmation: Return to Palisis and re-assign the chart. Select "Yes" when prompted; the error should no longer appear, and the event will be successfully created.
When updating your capacity template, please ensure the new template matches is also assigned to a seating chart. You cannot switch between a template linked to a seating chart and one that is not. The new template must share the same seating chart status as the original.
