How to modify capacity for a specific departure

What does it mean?

This support article explains how to adjust the capacity of a single scheduled departure, allowing you to manage specific inventory needs without changing the overall product configuration.

This functionality allows operators to override the default maximum capacity set for a product. This is useful for either increasing or reducing the available inventory for one specific departure instance, based on unique operational requirements (e.g., using a larger vehicle or needing to block off seats).

  • Custom adjustment: You can change the capacity by adding or subtracting spaces for each seat category configured for the tour (if applicable).

  • Alert levels: You also have the option to modify the system's alert levels to ensure they are appropriate for the new, adjusted capacity.

  • Immediate effect: The revised capacity setting takes effect immediately upon saving.

What should I do?

To change the capacity for a specific departure, follow these steps in the Back Office:

  1. Locate the departure:

    • Navigate to Operations > Next Departures.

    • Use the calendar and the available filters (e.g., to select the corresponding route or tour) to locate the specific departure instance you wish to modify.

  2. Activate custom capacity:

  3. Adjust capacity:

    1. Edit the capacity values according to your needs for each seat category that your tour utilises.

  4. Modify Alert Levels (Optional):

    1. Switch to the ‘Alert levels’ tab within the same window.

    2. If necessary, adjust the system's warning levels (e.g., low stock alerts) to align with the new, reduced or extended maximum capacity of this departure.b162fa54-40e1-4f65-baee-552bd95c4b23.png

  5. ave changes:

    1. Finally, click Save.

The revised capacity will be implemented immediately and will affect all subsequent bookings for that single departure time.

Please note that all other departures for this product will retain their original, unedited capacity. This modification only affects the specific departure time you are editing.

To restore the capacity to the product's original settings, click the ‘Revert back to template’ link.
