Where can I find it?

Customer data config form

What does it mean?

Customer Data settings let you decide which information should be collected from customers when they book a specific product. This could include basic contact details, such as name, email address and phone number, as well as travel-related or operational details such as date of birth, nationality, passport number, airline, flight number, luggage or pets.

Because these settings are configured per product, you can ask for the right information at the right time. For example, a sightseeing tour may only need the customer’s name and email address, while an airport transfer may also require a flight number, luggage details and a phone number. If a product has age restrictions, you may choose to request the customer’s date of birth or age.

The information you mark as visible or mandatory is also used by your sales agents and partners when they sell your products. This helps ensure that every booking contains the details your team needs to prepare the service, contact the customer if required, and avoid missing information at check-in or during operations.

What should I do?

You can set which Customer Data fields should be visible or mandatory for BoxOffice, Webshop and Self-service in the Customer data tab when you create or edit a product. These settings are managed separately for each product, so review them according to the operational needs of that product.

Customer data options panel

You can configure each field with one of the following visibility modes:

Visibility Setting Operational Behavior
Customer data visible The field is displayed during the booking process, but the customer can complete the booking without entering a value (optional).
Customer data mandatory The field is displayed and must be completed before the booking can be finalised (required).
Customer data none The field is not shown during the booking process (disabled).

⚠️ Operational tip: Use mandatory only for information that is essential to fulfil the service. Too many mandatory fields can make the booking process longer and may reduce customer checkout conversion.

The following Customer Data fields are currently available and can be set individually:

  • Customer name
  • Customer email
  • Customer phone
  • Customer company
  • Customer address 1 & 2
  • Customer postcode
  • Customer city
  • Customer state
  • Customer country
  • Customer nationality
  • Customer passport
  • Customer language
  • Customer date of birth
  • Customer age
  • Customer airline
  • Customer flight number
  • Customer luggage
  • Customer pets
  • Customer comment
  • Customer comment for print
  • Customer vehicle
  • Consent email
  • Customer internal note

You can also define whether an external reference should be shown on the customer’s Passbook or Wallet ticket for this product:

Reference Tag Value Type
UID The Palisis booking number (default value).
FOREIGN_UID The reference provided by an external system, such as TourCMS, an OTA, or another connected sales engine.
EXTERNAL_VOUCHER Not currently applicable.
EXTERNAL_REFERENCE The external voucher reference uploaded in Palisis backoffice under Setup > 3rd party products > External Reference Batches.

Finally, you can enable Passenger per ticket mandatory for this product. When enabled, customers must add the required information for each traveller in a booking made through the Webshop or BoxOffice. This does not apply to widgets.

Remember to save your changes before leaving the page.

Example

In this example, the customer name and email address are mandatory, while country, phone number and comments are visible. This means the customer must provide their name and email address to complete the booking, but the remaining fields are optional.
