What does it mean?

By default, our system is designed to maximise your sales by sharing the same real-time availability across all sales channels simultaneously to help you capture every booking. While the general practice is to keep availability open to maximise sales, you can manually restrict capacity for specific channels if needed (i.e. onsite, online, OTAs). This requires a specific setup within your product and pricing settings. Below, we’ll walk you through how to set these custom limits.

What should I do?

There are some crucial steps you need to follow:

  • Define your seat categories.

  • Create a capacity template with the number of available spots for each seat category.

  • Assign capacity templates to your products.

  • Optimise the balance between onsite, online and OTAs sales.

Here is the process:

  1. Start by creating seat categories that reflect your business requirements, ensuring your inventory is organised for optimal sales. In our case, we’ll focus on online, onsite and API seat categories.

  1. Once your seat categories are set, the next step is to build a capacity template to define your distribution strategy. For instance, if you have a total capacity of 50, you might allocate 15 seats to online sales, 25 to onsite, and 10 to API partners.

  1. The third step is to associate your newly created capacity template with the relevant product. This ensures the correct distribution rules are applied to the items you are ready to sell.

  1. Create multiple price plans by assigning channel-specific rates. Why? By creating separate price plans and assigning a price only to a specific seat category within each, you effectively "lock" that availability. This ensures the capacity assigned to that category is reserved exclusively for that price plan and is not shared with others.

Note: To ensure full control over your distribution, please create three separate price plans for each product—one for Online, one for Onsite, and one for API.

⚙️Configuration Tip: For each price plan, only populate the column corresponding to that specific channel. For example, for the Online plan only fill the online column; for the Onsite plan, only fill the mPOS column; for the API plan, only enter prices in the API column.

  1. Your product's API price plan must be synchronized with TourCMS. You can complete the mapping process yourself by following the steps here How to do the mapping between TourCMS and Palisis.   1. You will notice that each channel—online, onsite, and API—is governed by its assigned capacity, preventing overselling.

  • For example, if your online capacity (webshop) is set to 20, the system will automatically restrict further sales once that limit is reached.

  • When onsite capacity is reached—for instance, hitting a limit of 20—the device provides immediate visual feedback. The category will be highlighted in red, signaling that you have exceeded your allocated capacity.

In the event of a capacity alert, you can still process the booking manually on your device. Select the 'Ignore Capacity' option on the screen to bypass the restriction and finalise the sale.

  • API capacity limit is clearly displayed within TourCMS. Please note that this value represents a hard ceiling; your distribution settings cannot exceed this limit, ensuring your inventory remains synchronized and overbooking is prevented.

Maintain complete authority over your distribution by dynamically allocating capacity where it’s needed most. Our platform grants you the flexibility to expand or restrict availability across any channel in real-time, allowing you to pivot instantly to match fluctuating demand.

By accessing the Manifest in your backoffice, you can monitor live booking data—specifically spots filled versus spots remaining—and quickly assign new capacity levels to your products. This centralized view also displays your total aggregate capacity across all channels (e.g., 50 spots), ensuring you stay in control of your inventory at all times.
