What does it mean?
The Export wizard provides a step-by-step guide to simplify report creation. With the Export Wizard, you can generate reports, save them for future use if they’re recurring, and even schedule them to be automatically emailed to a list of recipients at a specified date and time.
What should I do?
Navigate o to Reporting > Export Wizard, where you’ll find a step-by-step guide to help you generate your report.
Step 1: Select the date range
First, choose the time period you want to include in the report. This can be day-based, week-based, month-based, or year-based. To check sales from the previous month, select month-based, then last month, and choose Booking Time as the date reference, as shown in the screenshot. Then, click Next.
Select Event Time instead to see bookings for which the travel date or event date fell within the previous month.
The Settlement Time refers to when the cash settlement was closed. If you choose this option, the report will include all bookings for which the settlement was finalised in the previous month.
Step 2: Apply filters (optional)
You can apply filters here to refine your report. In our example, we’ll filter by Sales channel and select online sales. Once you've done this, click Next.
Step 3: Define report columns
Now, choose the columns you want to include in the report. These are based on the report template selected from the dropdown list. For more information, please refer to the article on how to configure your report templates.
You'll also need to choose the file format—either a comma-separated text file (CSV) or Excel (XLSX). Once selected, click Next.
Step 4: Select report items
The report includes bookings, payments, refunds, cancellations, and check-ins by default. However, you can easily add or remove any of these by toggling the selectors on or off. For example, you might want to add unredeemed vouchers to the report. This would include all bookings sold by partners (sales agents) that have not been redeemed yet, meaning the passengers have not used them. Once you've made your selection, click Next.
Step 5: Schedule the report (optional)
Here, you can enable automatic scheduling to send the report to a list of recipients at a set frequency. Enter multiple email addresses, separated by commas. In our example, we’ll schedule the report to be sent on the first day of every month at 8:00 AM. Once everything is set, click Next.
Step 6: Name your report
Finally, give your report a descriptive name to make it easy to identify later. For example, "Monthly Report – Online Sales". Then, click Finish.
At this point, you can either start a new report or click Close if you’re done.
What happens next?
- You’ll receive an email with a link to download the report.
- The report will also be stored in the Saved Reports section, where you can open, edit, reschedule, or resend it anytime.
To resend the report immediately, click Edit and go to the Schedule Options tab.
Please note that you can click the 'Test export now' button any time during the process to receive an email with a download link for the report. This allows you to check whether the report meets your needs with the selected parameters or if any adjustments are required in the Export Wizard. Remember that this temporary report is not saved in the Saved reports section.
