Where do I find it?

Account > User management

What does it mean?

In User Management you determine the system permission levels for different users. Please note that for every user a unique email address must be assigned and consequently can only be used once (for your sales user you can also use a dummy address e.g. john.doe@test.test, as long as they do not need access to the BackOffice). Please change the authority level, permissions as well as special permissions according to your needs. The list of all users is sortable by drag and drop. The Sales Users will be available on the Ticket-Terminal in the exact same order in which they are arranged in the BackOffice.

 

What should I do?

Click on the '+ Add' button to create a new user.

 

Attributes

Then enter the attributes where the email address is mandatory, also for sales users you need to enter a PIN number.

After that, click on 'Save' and you can continue with the 'Authority level'.

 

Authority level

 

  • Backoffice admin user

It can only be created by a Palisis role (Palisis staff).

This is the user who manages the configuration, users, special permissions, etc. from the customer side. By default, this type of user has all the navigation permissions granted. It’s the only user able to go into the KYC process (Marketpay). Almost all the special permissions are granted by default to a backoffice admin user. However, a Palisis Admin role can edit/assign/remove the following special permissions (the rest of them are already granted by default):

 

  • Backoffice user

It’s every person daily working in the backoffice, other than the owner of the account, should be a backoffice user. They can have basically almost all permissions, but can only grant those they also have access to. Some special permissions can be granted. It can be created by a Palisis role, Backoffice admin role or a Backoffice user with ‘User Management’ permissions. In that case, only the existing special permissions can be granted.

  • BoxOffice Admin user

A Palisis role, Backoffice Admin user can create it. This user has access to Bookings, Partnering, Users, Help, Switch, Change Password, Company Contact, Marketpay KYC by definition. It should be possible to assign the special permissions related to the BoxOffice.

  • BoxOffice user

A Palisis role, Backoffice Admin user and Boxoffice Admin user can create this user. It should be possible to assign the special permissions related to the BoxOffice.

  • Sales user

It can be created by a Palisis role, Backoffice Admin user and backoffice user with 'User Management' permission can create it. It shouldn't be possible to add special permissions to a Sales user, as the special permissions refer to the backoffice or boxoffice.

 

Pearl of knowledge:

When a backoffice or boxoffice user is created, the system sends a notification email to the user with instructions for logging in. However, this email is not sent when creating a backoffice admin user.

 

Navigation permissions

Now you can select specific navigation permissions. By default, all permissions are granted. Then click on 'Save'.

 

Special permissions

Finally, select the special permissions.

  • Refund not allowed

This is a negative permission that blocks the possibility to make refunds.

Go to Operations > Tickets&Bookings, click on a booking. The user shouldn’t see the ‘Refund’ button here.

  • PreBooking / Passenger Manifest read only

This is also a negative permission that blocks the prebooking/manifest edition.

Go to Operations > Tickets & Bookings, if the user has the read only permission he/she shouldn’t be able to edit pick up points, customer data or change the capacity template.

  • Billing

It allows the user to access the 'Billing' section to check invoices and Marketpay settlements. Backoffice Admin users always have this permission by definition.

Go to Account > Billing and you should be able to see and download the Palisis invoices if you have this permission.

 

  • Cash management close allowed

This permissions is a negative one, it blocks to user to close a cash settlemetn and it can only be granted by a Palisis role. Go to Operations > Cash Settlement, search for ‘OPEN’ cash settlements, then click on one of them (same as before). If you have this permission, you should have the ‘CLOSE’ button.

  • Reservations

This permission should be enabled for the owner first, please contact our support team for that support@palisis.com. If it’s not enabled for the owner, then you cannot enable for the users. 

Go to Operations > Tickets & Bookings and if you have this permission you should be able to see the options to “Cancel”, “Edit” or “Confirm” a reservation.

  • User Management

Backoffice Admin users always have this permission by definition. Go to Account > User Management if you have this permission and you will be able to create new users.

 

  • Refund user selection allowed

Backoffice Admin users always have this permission by definition. Go to Operations > Tickets & Bookings, click on a booking > click on the ‘Refund’ button. Then you should be able to see the dropdown field to select the user if you have this permission.

  • Show Anonymize option on Ticket Search

Backoffice Admin users always have this permission by definition. Go to Operations > Tickets&Bookings, click on a booking and then on the blue tab. If you have this permission, you will have here the ‘Anonymize’ action.

  • Marketpay Settlements

Backoffice Admin users always have this permission by definition. If you have this permission, you will see the Account > Maketpay Accounts section.
