How to setup automatic reports

Where can I find it?

Reporting > Saved Reports > Private/Public

 

What does it mean?

In this section, you can set up the automatic generation of your report on a daily, monthly, or yearly basis.

 

What should I do?

The first step is to create a report template

Next, navigate to Reporting > Data Export or Reporting > At a glance. From either location, you can save reports. Once there, follow the steps outlined below.

 

From 'Data export'

  • Select the timeframe in 'Calendar'. In our example, we have selected 'last month'.

  • In the 'Filter' tab you can add a filter

  • Select the appropriate template and include items in the 'Export' section.

 

After that, enter the report name and description (optional) in the 'Saved reports' section, where you can also find previously saved reports.

 

Please note that the report is private by default, only be accessible to you. If you select this option, the report will be public for all back-office users. Finally, don't forget to click on 'Save'.

 

From 'At a glance'

  • Select the timeframe in 'Calendar'. In our example, we have selected 'last month'.

 

  • Go to the gear icon

  • In the 'Filter' tab you can add a filter.

  • Select the included items

  • In the 'Export' tab, select the appropriate template.

  • After that, on the same tab, select the format (CSV, XLSX or PDF).

  • Finally, enter the report name and description (optional) in the 'Saved reports' section, where you can also find previously saved reports. Please note that the report is private by default, only be accessible to you. If you select this option, the report will be public for all back-office users. After that, don't forget to click on 'Save'.

 

Now, go back to Reporting > Saved Reports > Private/Public, in our case is private, and you'll find your report there, click on 'Edit'.

 

Activate your report and insert an email address where you would like to receive the report. You can add as many email addresses as you wish, separated by a comma (,). Now configure when and how often you would like the report to be sent. Do not forget to save the changes.

 

 

IMPORTANT CONSIDERATIONS:

1 - The automatic generation of the report only works with relative time frames. This means that a custom selected time frame won’t work.

2 - If you select the PDF format, the report will be generated in the same language that your user is logged into at the time of creation.

 

In this example, the report will be sent to blanca.castillo@palisis.com every 4 weeks on Mondays at 10:00am.

By clicking on Send now you can manually send the report immediately.
